Tsebo Facilities Solutions is looking for a Work Order Administrator to provide comprehensive financial and work order administration support for the contract by ensuring accurate processing, compliance with Tsebo and client standards, timely reporting, and excellent service delivery. Duties & Responsibilities:

  • Financial Administration Process purchase orders, quotations, and invoices accurately on OnKey. Monitor daily work orders and track costs. Prepare monthly invoicing templates and adhere to all financial cut-off deadlines. Maintain supplier reconciliations, contract documentation, and audit-ready records.
  • Work Order & Operational Administration Log, update, and monitor work orders on OnKey. Assign calls to service providers, track progress, and ensure SLA compliance. Release, track, and close PPMs monthly. Follow up on open calls, escalate delays, and support contractor performance monitoring
  • Customer Service & Client Engagement Respond to client queries professionally and promptly. Provide ongoing updates on work order status and ensure client satisfaction. Resolve issues or escalate when needed.
  • Reporting & Compliance Prepare daily, weekly, and monthly reports covering financials, work orders, POs, and PPMs. Compile monthly variance reports and provide accurate data for internal and client reporting. Maintain accurate records and ensure adherence to Tsebo and client compliance frameworks. Compile monthly diesel usage reports for client reporting To compile any specialized reports as per client requirement

Skills and Competencies:

Skills: Financial and business acumen Knowledge of facilities management, SLAs, helpdesk systems Excellent communication and organizational skills Analytical, problem-solving abilities with strong attention to detail Proficiency in English; additional languages advantageous

Qualifications:

  • Grade 12 Bookkeeping/Accounting Certification or equivalent
  • Computer literacy: MS Office, OnKey
  • 2–3 years frontline customer service experience (advantageous)
